University Email Lists

Introduction

A number of electronic mail (email) lists are available to distribute official information to staff members across the University campus.  These lists are across three broad categories:

Within each of these categories a number of email lists exist. The lists are created using the GNU Mailman application run by the Division of Information as the University's electronic mailing list server.

Each list has a list owner and/or authority.

For the staff email lists and the functional administrative email lists, the list owner is responsible for approving and distributing mail to the lists. Rules apply to all postings to these lists and anyone wanting to post to these lists should read and be aware of these and the tips and techniques for email postings.

Subscription to the staff email lists and the functional administrative email lists is part of an automatic process that is driven by information held in the ANU's HR Management System, ESP HR. A batch process (called the DoI Download) is run twice daily (at lunchtime and overnight) to extract the information from ESP HR. This information is then passed across to DoI to create the email lists.

Staff email lists subscriptions are based on the type of job function a person is recorded against in ESP HR. Because of this, a person may be attached to more than one list.

Functional administrative email list subscriptions are based on the position category information recorded on the Position Data 4 panel in ESP HR. A position can have more than one category. The incumbent of the position is subscribed to the relevant email list/s.

Subscription to the role-based email lists is a manual process. Each of these lists are subject to their own list configurations in Mailman.  The way the lists are configured determines who can subsribe to these lists and who can send to them.
