Do I have to e-mail all travel booking requests to Amex?
No, you can also telephone using the toll free number or fax your reservation. E-mailing the University booking form is the preferred method for requesting travel, as the form is designed to capture all the necessary information to process a booking quickly and efficiently. However, sometimes you will need to speak to an Amex Consultant to discuss a complex or detailed travel request.
You should always telephone for any last minute or urgent bookings. For example, if you are arranging travel for within 24 hours, then please telephone with the request and you will receive immediate confirmation.
- How do I cancel or change a confirmed reservation?
For Domestic reservations that have been booked through the University’s online booking tool (Cliqbook) you need to contact the the Amex Online team (please see Amex contacts webpage for details).
For all other booking either e-mail or telephone Amex on the University dedicated numbers provided. For any last minute cancellations, please telephone.
- Can I make a booking without providing my cost centre details?
No, Amex cannot process a reservation without your two digit cost centre and the relevant charge code.
- Can I get a quote without providing my cost centre details?
No, Amex cannot provide you with a quote without having your cost centre details. Although they do not require a budget code to provide a quote.
- Can I make a booking without providing the budget code details?
Yes, you can make a booking without the budget code, but you will need to advise Amex the budget code details before the ticket can be issued. If you know the budget code along with your cost centre then please advise when requesting the booking.
Bookings will be cancelled by airlines if a budget code is not provided by the ticketing deadline.
- If I have already advised the budget code when making the booking, do I need to reconfirm the details with Amex before the ticket is issued?
No, as Amex will already have all the information they need in order to issue your ticket.
- Do I need to advise the Project/Grant Code or the Internal Reference details to Amex?
Only if your department requires these details to be recorded for reconciliation purposes. If this is a requirement of your department, then please advise the details to Amex.
- Can Amex book my hotel or car?
Yes, Amex can book all your travel requirements, including hotel and car hire. Amex will not arrange pre-payment of any hotel or car hire booked.
- Why does Amex ask for a credit card to make a hotel reservation? Can't the Amex BTA be used?
In order to guarantee a reservation, the majority of hotels require a credit card. Some hotels will not confirm a reservation unless a credit card is given as a guarantee. Other hotels will allow a reservation to be made, but will only hold the room up until 6.00pm on the day of arrival, unless a credit card is given to hold the room. The Amex BTA product can only be used for airfares.
- How long is a quote from Amex valid?
All quotes are subject to actual seat availability and change or withdrawal by the airline, at any time. Amex will only quote on what is available at the time of your request, but have no control over airlines seat capacity or fare changes/withdrawal.
- Can Group airfares be charged to the Business Travel Account (BTA)?
Yes group airfares can be charged to the Amex BTA or paid upfront by cheque/EFT. The circumstances with each group may vary and will be communicated to the University group co-ordinator at the time of booking. For example some group airfares may attract a merchant fee when payment is made via the Amex BTA.
