Award Variations

Extension

Only as a last resort, after considerable discussion with the student and academic supervisor will the AusAID Liaison Officer submit a proposal to AusAID requesting an extension.

Any extension of time requires additional funds being available from the student's country's aid program.

Supervisors must complete an Extension/Award Variation Request at least 6 months prior to the student's end-date.

Scholarship extensions for extra qualifications, ie. upgrading from Masters to PhD degree, generally will not be considered.

Students cannot change or withdraw from enrolment without consulting academic advisers and acquiring AusAID's agreement. Major changes are unlikely to be approved.

Scholarships may be cancelled if students do not obtain approval for any changes to their original training agreement.

Transfer

If it becomes apparent that a student will not be able to pass or complete the nominated program, because of poor grades or academic ability, a transfer to another course, and/or university may need to be considered. After discussing all options with the student and academic advisers the AusAID Liaison Officer will make a transfer request to AusAID.

It will be important that any such request does not usually require either additional financial support or time for the student to complete any course.

Suspension

There are three circumstances under which a scholarship can be suspended:

  • When a student requests a suspension due to ill health, family problems or other personal reasons. Students are expected to return home during the suspension. The maximum period for suspension would be 12 months;
  • When a student is undertaking an approved practical attachment as a compulsory part of their academic program and no stipend is payable; and
  • When it has come to the attention of the ANU that a student has applied for permanent residency. The scholarship is suspended until the Department of Immigration and Multicultural and Indigenous Affairs has finalised the application.

Scholarships are normally only suspended once. A second suspension will only be approved under exceptional circumstances.

Termination

Scholarships are terminated in the following circumstances:

  • a student does not satisfy academic progress requirements
  • a research program has been delayed, and there is no other option
  • a student has seriously infringed the conditions of the scholarship
  • a student has breached the ANU's misconduct rules
  • a student fails to meet the English language requirements and the maximum period of English language training available under the scholarship has been completed
  • a student is unable to continue a program due to serious illness or incapacity
  • the nominating authority requests that the scholarship be terminated
  • a student decides not to continue
  • a student has applied to remain in Australia on the basis of marriage to an Australian
  • a student marries an Australian without applying for permanent residence but does not confirm the intention to return home at the end of the scholarship
  • a student applies to remain in Australia as a refugee and gains an extended temporary entry permit on the basis of that application.
